Be aware of your Duty of Care when booking hotels
As an organisation, you have a duty of care towards your employees and/or the people you hire. Under Dutch law, every employer has a far-reaching duty to protect the health and safety of its employees during working hours. This also applies if they’re travelling on behalf of your organisation for business purposes. This is known as your Duty of Care.
We regularly find that customers arrange hotel bookings themselves, usually online, with a view to saving costs. But did you know that, at VCK Travel, we’re not only good at booking airline tickets, but also offer great hotel deals? We’re not just saying this because it’s commercially interesting for us. We also want to draw your attention to the risks related to your Duty of Care. If a hotel booking is made through us, you always know where your people are staying, and we can more easily assist you in the event of an emergency – 24 hours a day, 7 days a week. After all, your travellers run different and often greater risks when they’re travelling abroad. They’re not only far away, but time differences and local circumstances may also complicate matters. That’s not something you want to worry about when things go wrong.
Safety is paramount
Unfortunately, we’re occasionally confronted with natural disasters. Just think of the hurricane season in recent weeks. What will you do if you don’t know exactly where your travellers are in Japan when Typhoon Faxai is ravaging the country? And did you see the images of Hurricane Dorian in the Bahamas? Other emergencies may include airline or pilot strikes, snowed-in airports or even terrorist attacks. These are just a few examples of events that may seriously disrupt travel schedules. Of course, we hope you’ll never need to worry about such things, but at least you can rest assured that our 24/7 service is always there for you and your travellers. However, if you have arranged your own hotel booking, what we can do will be limited. So, always consider carefully whether the cheaper booking will really be worth it when it comes to the safety of your people.
Business travel budgets
There are more advantages to booking your hotels through us. If flights, hotels and car rentals are all booked separately, you won’t be able to create a good management report. For example, it gets extremely complicated if you booked your flight through VCK Travel, your secretary has arranged the hotel online, and your employee has rented the car himself, requesting reimbursement of expenses at a later stage. Managing your business travel budgets will be much easier if you book everything through us. And what if a meeting overruns? Will you want to approach three different suppliers to adjust schedules?
